Washburn County Tourism MinutesMonthly Meeting -- Tuesday, July 10th, 2007
Washburn County Highway Shop Conference Room
Meeting was called to order at 11:33 a.m.
Members present: Dan Frase, Charlie Swanson, Ann Miller, Betty Jo Brown, Ruth Skeie, Tara Heckel and Dick Fankhauser
Absent: Kathy Mitchell, Storme Nelson, Greg Krantz, Mike Bobin
Others present: Leanne Woodland
Minutes of the June 12th meeting were circulated. Dick Fankhauser motion to approve the June 12th, 2007 minutes, seconded by Dan Frase. Motion carried.
Treasurer’s Report:Treasures report and profit and loss statement were circulated for review. Dan Frase asked Leanne Woodland to follow-up on all reimbursements. Dick Fankhauser motion to approve the treasurer’s report and monthly bills, seconded by Dan Frase. Motion carried.
The board discussed scheduling an audit for 2006 files. Leanne Woodland will coordinate a 3-member audit committee.
Old Business:
Ann Miller provided online contest prize package updates. A winter prize package was created for winner, Nick Evers from Rising Sun, Indiana. Dan Frase suggested the summer prize package remain for later use. Ruth Skeie suggested promoting the summer prize package as a summer use only package.
The board reviewed details of the final payment to WCED for ½ of office manager’s benefit package from May 21st-Dec 31st, 2007. The payment was approved earlier in the Treasurer’s Report.
Website Committee:
Ann Miller announced the use of Rodeo’s credit card machine to process ad payments for the WCTA website and visitors guide. Dick Fankhauser stated the Rodeo may charge WCTA 2-3% if WCTA credit card amounts exceed $1000 per month. Dan Frase motioned to approve processing Master Card, Visa and Discover credit cards through the Rodeo Committee’s bank account and having Rodeo reimburse WCTA 100% of the amount charged to each credit card. Dick Fankhauser seconded. Motion carried. Charlie Swanson raised concern about mixing tourism with rodeo money. Dick Fankhauser stated a credit card transaction paper trail would be created and that the benefits of offering credit card payments increased rodeo sales significantly.

Executive Director Report:(See attached report)
- Ann Miller suggested a photo contest be held for the cover photo of the 2008 visitors guide. Leanne Woodland will draft a press release about the contest for Ann’s approval.
- Dick Fankhauser suggested posting all bids for WCTA projects in local newspapers. Motion to publish all bid requests in local newspapers by Dan Frase, seconded by Ruth Skeie. Motion carried.
- External Signage: The board reviewed designs and bids from 2 companies to update the Highway 63 street sign at the Information Center. The board favored the design by local company: Customs Signs & Graphics. Leanne Woodland will contact the city building inspector, Dennis Quinn and city clerk, Barb Daniels regarding a permit and possible funding from room tax revenue to pay for new sign.
- Dan Frase suggested WCTA executive committee meet with Spooner Chamber of Commerce executive committee to discuss 1. office politics, 2. redefining a joint-effort regional vision and 3. establishing an action plan for progress.
- Sports Shows
The board tabled discussions regarding sports show participation until the August 14th board meeting.
- Review 2008 Washburn County Map bids:
The board reviewed 3 bids for a new Washburn County Map from Advance Printing, White Birch Printing and SchoolHouse Productions. After discussions regarding a proposed new design for the map, the board tabled the bid award.
- Vacancy Report:
Ann Miller read a letter WCTA received from Margaret Miller, Green Acres Motel owner, requesting access to WCTA weekly vacancy report. Leanne Woodland will draft a letter to Ms. Miller explaining the vacancy report updates coming to the WCTA website, and also explaining the administrative and postage fees associated with providing reports.
