MONTHLY BOARD MEETING Minutes – OPEN SESSION

Tuesday, May 13, 11:52 a.m.

Washburn County Highway Department  

The meeting was called to order by President Ann Miller at 11:52 a.m. 

Individuals present:

Dick Fankhauser, Dan Frase, Ann Miller, Charlie Swanson, Ruth Skeie, Mike Bobbin, Lee Magnuson, Jim Bloms, Joe Fitzgerald, Lloyd Mardkian.

Previous Minutes:

Minutes of the April 8, 2008 meeting were circulated. Ann Miller moved to amend last month’s minutes by removing Tara from the individuals present. Dan Frase seconded. Motion carried.

Financial Report:

Jim Bloms circulated the financial report. Dan Frase moved to accept the report. Dick Fankhauser seconded. Motion approved.

Old Business:

2009 Visitor Guide Book.  Topic covered in Director’s Report.

Website Reorganization. Dan Frase suggested Jim coordinate efforts on reorganization of the website and check on business registration.

New Board Member. This topic was considered at the Executive Committee meeting.

Re-election of Current Board Members.Ann Miller moved to elect Lee Magnuson as a new Board Member. Mike Bobbin seconded. Motion carried.Dick Fankhauser moved to re-elect Dan Frase. Ann Miller seconded. Motion carried.Ann Miller moved to re-elect Dick Fankhauser. Dan Frase seconded. Motion carried.Dick Fankhauser moved to elect Joe Fitzgerald. Mike Bobbin seconded. Motion carried.Mike Bobbin moved to place consideration of an amendment to change the minimum number of Board members from 9 to 7 on the June agenda. Dan Frase seconded. Ann Miller called for a vote on the original motion. Motion carried.The Board of Officers will be elected at the June 10 meeting. 

Director’s Report:

Jim indicated the office has increased visitor information cost-efficiency through sending materials with personnel traveling in the right direction, as opposed to shipping by mail.

Tourism Impact and Development. Jim distributed literature on the economic impact of tourism expenditures in Washburn County.

WDT Annual Consumer Show Report. Jim circulated information on the potential for marketing collaboration with the WDT at consumer shows.Non-Profit Income Taxes. Jim indicated the return for WCTA would be filed soon.

WCTA Credit Cards. A past balance on a cancelled card for a previous director was paid. A new card was obtained for the Director. Mike Bobbin suggested the most important lesson was to pay the balance each month even if the receipts need to be presented at the Board meeting after the payment goes out.

Information Desk Activities and Meeting. Personnel met on May 12 to better coordinate the desk responsibilities. Topics included: Rodeo ticket sales, furnishing and gathering information, scheduling, Sunday hours, initiating a request for smaller visitor guide boxes and the Visitor PC in the lobby.

Insurance. Through some research into the WCTA insurance policies, Jim found they did indeed cover separate issues.

Election of Officers and Board Members. Jim pointed out the fact that last year’s May minutes did not cover the election.

2009 Visitor Guide Development. Meeting with Randy and Linda on May 6, 2008. Jim circulated potential categories for the new book.Dan Frase moved to accept the Director’s Report. Lee Magnuson seconded. Motion passed.

New Business:

Correspondences. Jim passed out copies of Storme Nelson’s resignation letter.

2009 Milwaukee Show Dates. Jim passed out show dates for the 2008-2009 season. It was recommended he research the early registration deadlines for each.

Washburn County Map. Map is due out around the first of the year. Jim indicated there is an adequate supply until then, but has not worked on the development of the new one at this point.

Destination Marketing. Ann Miller said she would attempt to attend the meetings since Jim Bloms is not in the office on Thursdays.
